POSITION DESCRIPTION
We seek a part-time Administrative Assistant, less than 30 hours per week, for our urban
community vegetable farm, a non-profit 501(c)3 organization.
The Administrative Assistant will assist with:
● Management of Neon as the customer relationship management database, including
primary data entry and coding, development of system reports, creation of email
audiences, and responsibility for ongoing data hygiene and data integrity
● Registration and management of member subscriptions, including affirming order
confirmations, recording of payments, collection of any balances due, and administrative
support for the seasonal execution of member pickups and deliveries
● Recording of donations received from individuals and companies, and preparation and
sending of appropriate thank you and gift acknowledgement letters; Sending out of
monthly Donation Invoices for pledge installments due under SGF Expansion Campaign
● Management of public registration pages in Neon for periodic ad hoc SGF events, as
executed through the SGF website
● Preparation of ad hoc reports using Excel/Google Sheets; ad hoc communications using
Word/Google Docs; and requested items using graphic design software of Adobe
InDesign and Canva.
● General office support and other duties as needed and requested in coordination with the
Director; Recordkeeping, distribution and return of keys for farm buildings and
equipment to staff as directed; Additional support for events as required
Desired qualifications:
● Positive, friendly, and professional demeanor
● Organized and close attention to detail
● Effective communicator, both in-person and in writing
● Self-directed, with strong interpersonal and problem-solving skills in a team setting
● Prior experience in an administrative support role
● Prior experience using CRM software and managing a database
● Adaptability and interest in learning new software systems
● Working knowledge of Google Drive, wording processing and spreadsheet software
● Working knowledge of Microsoft Office suite software

St. Matthew Lutheran Church, dedicated to producing locally-grown, high-quality produce
following organic practices. The farm is committed to helping those who lack adequate food
resources by donating at least ten percent of our product to support regional food security
programs, such as Eastern Illinois Foodbank and Daily Bread Soup Kitchen. We grow a wide
range of produce to support our 250-member Community Supported Agriculture (CSA) program,
two farmers markets, and several retail and wholesale clients. We operate a robust volunteer
